Privacy Policy – Cricket Tikes

We (Cricket Tikes Ltd) are the data controller for the personal information you provide when booking classes. ClassForKids (classforkids.io), our booking platform, acts as our data processor and holds the data on our behalf. Payment information is handled by Stripe (stripe.com) and is not stored on our systems.

WHAT DATA WE COLLECT

• Your name, email address, phone number, postal address

• Your child's name, date of birth, and any medical, behavioural, or additional needs information

• Payment details (processed securely by Stripe)

• Coaching observations and progress notes

• Photographs or video taken during sessions (with your consent)

WHY WE COLLECT IT AND OUR LAWFUL BASIS

• To manage bookings, classes, payments and attendance — lawful basis: contract performance

• To contact you about sessions, cancellations, schedule changes, progress or emergencies — lawful basis: legitimate interests

• For safeguarding, health and safety, and first aid — lawful basis: legal obligation and vital interests

• For accounting, tax and legal purposes — lawful basis: legal obligation

• For promotional materials (website, social media) using photographs or video — lawful basis: consent, sought during the booking process

WHO WE SHARE IT WITH

• Our coaching team and the first aider on duty (for class delivery, safeguarding, and medical emergencies)

• ClassForKids (booking platform and data processor)

• Stripe (payment processing — data processor)

• Emergency services (paramedics, hospital staff, police) where necessary to protect your child's safety

• Statutory authorities where required by law, including safeguarding referrals (e.g., NSPCC, local authority designated officer, ECB Safeguarding Team)

We do not sell your data or share it for marketing purposes unless you specifically opt in.

CHILDREN'S DATA

We process children's personal data with particular care. We collect only what is necessary for safe and effective coaching. Children's data is not used for marketing purposes. Progress notes and coaching observations are shared only with parents/guardians and the coaching team.

HOW LONG WE KEEP IT

• Booking and payment data: 6 years (legal requirement)

• Child progress notes and coaching observations: end of membership + 3 years (to cover the limitation period for civil claims and to support any outstanding progression or dispute queries)

• Photographs and video: deleted within 30 days of consent withdrawal. Where no withdrawal is received, promotional images may be retained for the duration of their use and reviewed annually

• Safeguarding records: retained in accordance with ECB Safe Hands policy and statutory requirements

We may retain records longer where necessary to resolve disputes or comply with legal obligations.

YOUR RIGHTS

Under UK GDPR and the Data (Use and Access) Act 2025, you have the right to:

• Access your personal data (and your child's data)

• Correct inaccurate data

• Request deletion of your data

• Restrict or object to processing

• Withdraw consent at any time (this does not affect the lawfulness of processing before withdrawal)

• Data portability

• Complain to the Information Commissioner's Office

PHOTOGRAPHY & VIDEO

Cricket Tikes may photograph or video sessions for use on our website, social media, and promotional materials. Consent for this use is sought during the booking process and may be withdrawn at any time in writing to bookings@crickettikes.co.uk. Images featuring your child will be removed within 30 days of consent withdrawal.

No photography or video by parents is permitted during indoor sessions. During outdoor sessions, personal photography is permitted with sensitivity to other families. No images or video may be shared publicly (including social media) without prior consent from all families whose children are visible. Full details in our Terms and Conditions.

DATA SECURITY

We use secure systems and only share data where necessary. Access to personal data is restricted to authorised members of the coaching and administrative team. ClassForKids and Stripe maintain their own security standards and certifications.

DATA BREACH NOTIFICATION

In the event of a data breach that poses a risk to your rights, we will notify the Information Commissioner's Office within 72 hours and inform affected families without undue delay.

INTERNATIONAL DATA TRANSFERS

Some of our service providers (Stripe, Google) may process data outside the UK. Where this occurs, appropriate safeguards are in place in accordance with UK GDPR requirements.

COOKIES & TRACKING

Our booking platform (ClassForKids) uses essential cookies for functionality. Our website (crickettikes.com) uses cookies from Google Maps and Google Fonts for display purposes. We do not use advertising or tracking cookies.
